Job SUMMARY Provides administrative support to a department Or office location. Provides support for reception an d guest services, mail services, phone, meeting rooms an d location services. ESSENTIAL DUTIES an d RESPONSIBILITIES Manages the Ambassador teamProvides training an d guidance to direct reportsReceives an d directs incoming calls to appropriate personnel an d voicemail. Greets an d announces clients, applicants an d visitors. Follows security procedures for recording guests, suppliers an d other visitors. Arranges escorts as needed. Issues visitor passes an d validates parking. Assists with scheduling an d preparing meeting an d conference rooms. Coordinates setup of conference/meetings rooms. Arranges for an d reserves projectors an d other meeting equipment, ensuring equipment is in good operating condition. Arranges video and/or web conferencing as needed. Performs general clerical duties associated with distributing office faxes, packages an d mail as required. Uses tracking systems to record inbound an d outbound courier, freight an d mail. Meters mail. Arranges messenger service as needed. Follows location security procedures for screening inbound deliveries. Orders office supplies an d other common use items for the location, such as café supplies, equipment toner, printer paper, freight an d shipping supplies etc. Maintains neat appearance reception area, conference rooms café an d other common areas. Requests building an d housekeeping services as needed. Periodically inspects common area equipment to ensure good operating condition. Arranges equipment service as needed. Maintains records an d logs of service requests an d tracks their status. Maintains a file of services including transportation sources, accommodations, an d referral contacts. May arrange convenience/hospitality services for guests such as transportation, tickets, reservations, etc. Develops an d maintains positive client, team an d vendor relationships. Ensures contractual KPIs an d SLAs are maintained. Adheres to One Team an d Pro-active service delivery culture Periodically suggests adaptation of policies an d procedures.Performs other duties as assigned.
Qualifications an d Education:QUALIFICATIONS -To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
